DANCE WEEKEND BOOKING CONDITIONS

1. TO MAKE A BOOKING

A reservation is made once a non-refundable deposit is received by the Company. By paying a deposit you are agreeing to the Terms and Conditions and this forms part of the contract for your weekend with Dance Events North West Ltd.

2. DEPOSITS AND BALANCES

Deposits are required at the time of booking. NB All deposits are non-refundable. £35 per person
Notice of balances due will be given at 12 weeks prior to the dance weekend
Balances are due for payment in full 8 weeks prior to the dance weekend.

3. CANCELLATIONS

Cancellations received prior to and at 12 weeks will not incur a cancellation charge.
Cancellations received at 8 weeks when any outstanding balance is requested, will be required to be paid in full and refunded only if Dance Events North West is able to resell the allocated room(s) and to prevent Dance Events North West incurring any penalty charges from the Hotel particularly if Dance Events North West has fulfilled their obligation to the hotel by selling all the rooms allocated and have advertised the weekend as sold out.

Cancellations received after 8 weeks and prior to the commencement of the dance weekend will be required to pay in full.
If you haven’t arrived by 3pm check in time on the start date and you haven’t contacted us to confirm when you’re going to arrive, we’ll treat your weekend as cancelled. In this case you will not be entitled to any refund or transfer

4. IF WE HAVE TO CHANGE OR CANCEL THE WEEKEND

As we plan the dance weekends many months in advance we may occasionally have to make changes or cancel your booking and we reserve the right to do so at any time.
Changes: We will make reasonable efforts to inform you as soon as possible if there are any minor changes eg., Timings of check in, meal times, dancing activities
Any significant changes to the weekend such as change of date, accommodation or travel arrangements will be notified in writing with the option to cancel your booking if alternative arrangements cannot be made.
If we cancel the weekend, due to insufficient attendees to make the weekend viable, closure in part or whole of the accommodation, or circumstances beyond our control that would deem travel to the hotel or location as unsafe, a refund of all balances paid will be made. (Does not include the non-refundable deposit)
Dance Events North West Ltd will not be liable for any losses arising from any such cancellation.

5. BEHAVIOUR

When you book a weekend with Dance Events North West, you accept responsibility for the proper conduct of yourself and your party whilst on holiday. If your actions or those of any member of your party cause damage to the accommodation in which you are staying, then you and/or your party will be required to pay for the loss and/or damage caused by your actions and we will hold you and each member of your party jointly and individually liable for any damage or losses caused. Full payment for any such damage or losses must be paid directly to the hotel manager or other supplier prior to departure. If you fail to make payment, you will be responsible for meeting any claims (including legal costs) subsequently made against us as a result of your actions together with all costs we incur in pursuing any claim against you.

6. RIGHT OF ADMISSION

For the convenience of all our guests, we reserve the right to refuse a booking or to terminate a guest’s weekend without compensation where unreasonable behaviour might impair the enjoyment, comfort or health and safety of other guests and the Dance Events North West Team. Definition of unreasonable behaviour is solely at the discretion of the management. Only the people named on your booking may participate in the event as described and stay on the premises, otherwise you and they may be asked to leave with no refund payable.

7. HEALTH AND SAFETY

Your health and safety and that of all our guests whilst you enjoy your weekend with Dance Events North West is of paramount importance to us. In case of emergency please observe the directions of all staff at all times. We recommend the correct footwear and appropriate attire at all times. Please do take the time to familiarise yourselves with Hotel Fire Evacuation Procedure. A control of arm & leg movements whilst on the dance floor is vital so as not be a danger to fellow persons; no drinking whilst on the dance-floor; Spilt drinks should be mopped up immediately; Dancers should not eat or chew whilst dancing; No excessive consumption of alcohol, causing a lack of control and being a danger to oneself & fellow guests; It is your responsibility to take regular breaks to avoid over exertion and to stay hydrated
If you do have any concerns whatsoever, or see something you are unhappy with, please bring it to our immediate attention, thank you.

8. INSURANCE

You must be satisfied that your insurance fully covers all your personal requirements including pre-existing medical conditions, cancellation charges, medical expenses and personal belongings. If you choose to travel without adequate insurance cover, we will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.

9. FORCE MAJEURE

Except where otherwise expressly stated in these Booking Conditions we will not be liable or pay you compensation if our contractual obligations to you are affected by “Force Majeure”. For the purposes of these Booking Conditions, Force Majeure means any event beyond our or our supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the venue for the weekend or remain at the venue, the act of any government or other national or local authority including port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or service or facility which your hotel or any other supplier agrees to provide for you.
